Privacy Policy
Shine City Pressure Washing Inc. • Last updated: November 4, 2026
This policy explains what personal information Shine City Pressure Washing Inc. (“Shine City”, “we”, “us”) collects, why we collect it, who we share it with, and the choices you have. It covers our website, phone calls, texts and emails, the Shine City app, and the work we do at your property.
- We collect what we need to quote your job, book it, do the work, get paid and stay in touch with you.
- Phone calls are recorded, and some calls are answered by an AI receptionist.
- We use trusted outside services (for phone, email, payments, maps and AI tools). Some of them are in the United States.
- We do not sell your personal information.
- You can ask to see, fix or delete your information, and you can stop our marketing texts and emails at any time.

2. What we collect and when
| What | When we collect it | Why |
|---|---|---|
| Your name, phone number and email | When you ask for a quote, call, text, email or message us, or book a job | To prepare your quote, contact you and look after your job |
| Your service address and details about your property (the services you want, notes, size of the house, roof, windows, lights) | When you ask for a quote or book | To measure and price the work, schedule the crew and get them to the right place |
| Photos and videos of your property | When you send them with a quote request, through a photo-request link, in the app, or when our crew takes before-and-after photos on the job | To see the work needed, price it, and keep a record of the job |
| Map and satellite pictures of your property | When we prepare a quote | To measure areas, rooflines and walls without a site visit. These come from public map services (such as Google Maps and Esri), not from you |
| Phone call recordings and written transcripts | When you call us or we call you (see section 3) | Quality, training, accurate quotes and resolving disagreements |
| Texts, emails and app or social media messages | When you message us | To answer you and keep a record of the conversation about your job |
| Quote, booking, job, invoice and payment records | Throughout your time as a customer | To provide the service, bill you and keep our business and tax records |

We may also receive your contact details and request from services you use to find us, such as Google (including Google Local Services ads), Facebook or Instagram.
3. Phone calls and our AI receptionist
- Calls are recorded. Calls to and from our business phone numbers are recorded, and each call starts with a message saying so. If you stay on the line, you agree to the recording. If you’d rather not be recorded, tell us and we can help you by text or email instead.
- Calls are turned into text. We make written transcripts of recorded calls and voicemails so our team can find and review what was said. We also use AI tools to summarize calls and messages and to help our team follow up.
- Some calls are answered by an AI receptionist. When our team can’t answer, an AI receptionist may take the call. It can answer common questions and collect your name, phone number, email, address, the service you need and timing so our team can follow up. These calls are recorded and transcribed too. You can always ask to speak with a person or leave a message.
- Please don’t read card numbers over the phone. Use the secure payment link we send you instead. If a card number is spoken on a recorded call, our system tries to remove it from the recording and the transcript.
4. How we use your information
- To give you a quote, book and schedule your job, and do the work.
- To contact you about your quote, appointment, crew arrival, invoice and any changes.
- To take payment and keep accounting and tax records.
- To ask how we did and invite you to leave a review.
- To send you offers and reminders, such as seasonal cleaning or Christmas lights, when you have agreed to receive them (see section 5).
- To train our staff, check quality and handle complaints, damage claims or disputes.
- To measure which ads and pages bring us customers.
- To show our ads on Facebook and Instagram to people like our customers, only if you ticked the ad matching box on our quote form (see section 9).
- To protect our business and customers from fraud, spam and misuse, and to meet our legal duties.
We only use your information for these purposes, or for a new purpose you agree to or that the law allows.
5. Your consent, texts and emails
- When you ask for a quote, you agree that we may contact you by phone, text and email about that quote and your job. Message and data rates may apply.
- We send marketing texts and emails only as Canada’s Anti-Spam Legislation (CASL) allows. Every marketing email has an unsubscribe link, and every marketing text says how to opt out.
- Reply STOP to any text to stop our texts. Reply START to turn them back on.
- You can take back your consent for other uses at any time by contacting our Privacy Officer. If you do, we may not be able to provide some services, and we’ll tell you if that’s the case.
Text messages
When you give us your mobile number on our quote form, or say yes on a call, we may text you about your own quote and job. Message frequency varies. Message and data rates may apply. Reply STOP to stop getting texts, or HELP for help. Full details are in our Text Message (SMS) Terms.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We only share your number with the service providers that deliver our texts for us.
6. Who we share your information with
We do not sell or rent your personal information. We share it only with service providers that help us run the business, only as much as they need, and they may only use it to provide their service to us. The one exception is Facebook and Instagram ad matching, which happens only if you tick that box on our quote form (see section 9):
| What they do for us | Provider |
|---|---|
| Phone calls, call recording and text messages | Twilio |
| AI receptionist voice and speech recognition | Deepgram, ElevenLabs |
| AI tools that help answer calls, summarize calls and messages, and draft replies for our team | Anthropic (Claude), OpenAI (backup transcription), Google |
| Sending email | SendGrid (Twilio) |
| Our email accounts | Google Workspace (Gmail) |
| Card payments (cards are stored by Square, not by us) | Square |
| Accounting | QuickBooks Online (Intuit) |
| Maps, address lookup and satellite pictures | Google Maps, Esri |
| App notifications | Apple, Google (Firebase) |
| Website hosting and security | Our web host, Cloudflare |
| Website measurement and advertising | Google Analytics, Google Ads, Microsoft Clarity, Meta (Facebook) – see section 9 |
| Cloud backup of our database | Supabase (Canadian data centre) |
We may also share information when the law requires it, to protect our rights or someone’s safety, with our insurer or lawyers about a claim, or as part of selling or merging our business.
Photos of our work: We may share before-and-after photos of the work we did on our Google business page, website or social media, without your name. If you’d rather we didn’t use photos of your property, just tell us.
7. Where your information is stored
We keep our main customer records on our own servers in British Columbia, with a backup copy in a Canadian data centre. Some of the service providers listed above store or process information outside Canada, mainly in the United States. When that happens, your information is subject to the laws of that country and may be accessed by its courts or authorities. We choose providers that protect information to a standard similar to ours.
8. How we keep it safe
- Only staff who need your information for their job can see it, and they sign in to see it.
- Information travels over secure (encrypted) connections.
- We never store full card numbers; Square handles them.
- If a security problem could cause you real harm, we will tell you and the Office of the Information and Privacy Commissioner for BC as soon as we reasonably can.
No system is perfectly secure, but we work to protect your information and fix problems quickly.
9. Our website, cookies and tracking
When you visit our website, we record which pages you look at and when, the website or ad that brought you here, your IP address, and basic details about your device and browser (such as browser type, screen size, language and time zone). We save small files called cookies in your browser so we can tell when the same browser comes back, including to connect a phone call to the ad or page that led to it (these call-tracking details are kept for up to 90 days in your browser).
- We use your IP address to look up your approximate location (city, province and country) and internet provider. This does not show us your street address.
- Google Analytics and Google Ads help us see how visitors use the site and which ads work. When you send a quote form, Google’s tag may send a scrambled (hashed) version of your email and phone number to Google so it can match the form to an ad you clicked. We may also tell Google Ads when an ad led to a booked job.
- Microsoft Clarity records how visitors use our pages, such as clicks, scrolling and mouse movement, so we can see what is confusing and fix it.
- Meta (Facebook) Pixel runs on a few pages only after you allow it, and it never sends Meta your contact details.
- Facebook and Instagram ad matching happens only if you tick the optional ad matching box on our quote form. We then send Meta a scrambled (hashed) copy of your name, phone number and email. Meta uses it to match you to your Facebook or Instagram account, so we can show you fewer of our ads and show them to people like our customers. Meta’s terms say it deletes the scrambled copy once matching is done. You do not need to tick the box to get a quote, and you can ask us to stop at any time (see section 11).
- When you ask for a quote, we may connect your earlier visits to your request so our team can see which services you looked at.
You can block or delete cookies in your browser settings. The website will still work, but some features may not. Google, Microsoft and Meta handle information under their own privacy policies.
10. How long we keep your information
We keep your quotes, job records, photos, call recordings and messages while you are a customer and afterwards, so we can handle warranty questions, repeat work, complaints or claims, and keep our business records. Financial and tax records are kept for at least six years, as the Canada Revenue Agency requires. If we use your information to make a decision about you, we keep it for at least one year after that. When we no longer need information, we delete it or remove the details that identify you. You can ask us to delete information we no longer need to keep.
11. Your choices and rights
- See your information: ask what personal information we hold about you, how we’ve used it and who we’ve shared it with.
- Fix it: ask us to correct anything that is wrong.
- Delete it: ask us to delete information we don’t need to keep. In the Shine City app, you can delete your account yourself from the app’s settings. We keep invoices and other records the law requires.
- Stop marketing: reply STOP to a text or click unsubscribe in an email.
Send your request to our Privacy Officer (section 1). We may need to confirm who you are first. We will answer within 30 business days, as BC law requires, and tell you if we need more time and why. There is usually no charge.
12. Questions or complaints
If you have a question or concern about how we handle your information, please contact our Privacy Officer first and we’ll do our best to fix it. If you’re not satisfied, you can contact the Office of the Information and Privacy Commissioner for British Columbia at www.oipc.bc.ca or (250) 387-5629.
13. Children
Our services are for adults who own or manage property. We don’t knowingly collect information from children.
14. Changes to this policy
We may update this policy when our services or the law change. The date at the top shows when it last changed. If we make a big change to how we use your information, we will tell you before it applies to you.
